In pursuit of this mission, our Recruiting team is responsible for finding, assessing, and hiring exceptional talent across various fields and specialties. The team acts as consultative partners to our leaders across the organization, from technical managers up to our CEO, Sam Altman. We’re an established, collaborative team with a balance of structure, process, and ambitious problems to solve for.
About the role
We’re looking for a recruiting coordinator to join our team and partner directly with recruiters, sourcers, and hiring managers. This role is primarily responsible for scheduling interviews and supporting a world-class candidate experience. You’ll also liaise with our executive admin team to help connect candidates with our leadership team.
In This Role, You Will:
Take ownership of the scheduling process, end to end, for evergreen and opportunistic hiring needs.
Act as a partner for recruiting ops problems and help us find solutions through a mix of data, tools, and collaboration.
Greet candidates onsite in the office to provide a welcoming interview experience.
Be the primary scheduling and interview planner for various Recruiters and Hiring Managers across our teams.
Use our tools like Ashby, ChatGPT, G-Suite, and others to uphold a timely and positive hiring experience and process.
Have the ability to problem solve and adapt to an ever-changing environment while maintaining confidentiality and discretion.
Manage clear, concise, timely, and professional communication with candidates and hiring partners in written and verbal form.
Handle candidate reimbursement & travel (domestic and international).
Work with our Executive Operations team to support and improve candidate experience and management of senior and executive level candidates.
This role is great if you:
Have 1–2 years of experience in calendaring, administrative, customer service, or recruiting roles.
Exhibit strong professional written and verbal communication skills.
Are highly organized and able to prioritize tasks while adapting to changing demands.
Have experience with scheduling tools such as Ashby, ChatGPT, Navan, Envoy, and Ironclad.
Are detail-oriented and proactive in addressing challenges.
Possess a collaborative mindset and a willingness to enhance coordination processes.
Location and Workplace
This role is based in our New York City office. Our offices use a hybrid work model: three days in the office per week with optional work from home on Thursdays and Fridays. Our open-plan offices have height-adjustable desks, conference rooms, phone booths, well-stocked kitchens full of snacks and drinks and more.
