We are seeking a highly organised and proactive Administrative Business Partner with meticulous attention to detail, to join the existing assistant in the Executive Office directly supporting a Senior Exec. Together, you will play a key role in managing the day-to-day scheduling and operational needs to help drive the Senior Exec’s priorities. This role requires a high degree of responsiveness and adaptability to meet the varying demands of a fast-paced, global team. You will be comfortable partnering closely with another assistant, managing a fluid workload and adjusting your schedule to effectively collaborate across different time zones.

The role
Key responsibilities:
- In partnership with the existing assistant you will act as a point of contact and enabler for the Senior Exec in their role across GDM, Isomorphic Labs and Alphabet; dealing with incoming requests and heavy email correspondence.
- Strategically and meticulously manage a very complex and ever-changing calendar across numerous time zones and different office locations. Proactively identify and resolve potential conflicts, demonstrating a strong solutions-oriented mindset.
- Optimise the Senior Exec’s s time inline with business priorities, through effective scheduling and triage of inbound requests, leveraging your knowledge of priorities and through cohesive collaboration with the wider OCEO team.
- Facilitate effective meetings by circulating agendas and briefing documentation, capturing notes and outcomes and tracking action items to ensure accountability and timely completion.
- Drive operational excellence by streamlining processes, implementing innovative solutions and contributing to the strategic direction of the assistant team.
- Develop a strong working relationship with the existing assistant team: thinking ahead, handling priorities, anticipating needs and future challenges and proposing solutions to enable effective decision-making.
- Understanding of key stakeholders; build and maintain effective working relationships across relevant GDM-wide cross-functional teams.
- Assist with the organisation and delivery of a wide range of internal and external events for the Senior Exec in partnership with key stakeholders, ensuring seamless execution and that the objectives are met. Frequent international travel required for on the ground support.
- Arrange domestic and international travel for meetings, international office visits and speaking engagements e.g. hotel reservations, flight check-in, visas, detailed travel itineraries and overseas transport.
- Financial administration e.g. compile expense claims, approve purchase order requests, contract creation, reimbursements, etc.

- Experience with Google Suite is preferable but not crucial.
